ADMINISTRATIVE ASSISTANT

Permanent position (5 days)
Start: January 2021
Location: Teleworking (during the pandemic period)

JOB DESCRIPTION

Reporting to the Executive Director, the Administrative Assistant is responsible for planning, coordinating and managing the day-to-day activities related to the administrative support required by the team to ensure the smooth operation of the office, through a variety of organizational tasks. She must become familiar with a variety of Fred‘s concepts, practices and procedures. Experience, organizational skills and judgment are required to plan and achieve objectives and a wide degree of initiative, creativity and latitude is expected.

JOB RESPONSIBILITIES

Administrative Support
  1. To events
    Prepare mailing and solicitation lists (various programs and events)
    Manage registrations
    Payment tracking
    Assistance in preparing the logistics of the person in charge of the events
    Soliciting suppliers for bids
    Soliciting sponsorships for events
    Responsible for the inventory according to the activities
    Follow-up of different aspects depending on the event

2. Business development

Preparation of solicitation letters
Search for information (web-history-DPO)

Management of database systems

o Donor Perfect Online (DPO) – Donor and Member Database

Regular data entries and updates
Produce various reports
Produce receipts
Creation of file, document, form

o Constant Contact – System for sending information to the database

Updating contact lists
Form and survey
Maintenance of image and newsletter databases

Program and Family Support

o Assembling and sending the welcome kits to the parents

o Calls to families for new diagnoses

  • Manage equipment renewal and cancellation contracts
  • Manage incoming and outgoing mail | stamp and messaging
  • Place orders for necessary office supplies
  • Contributes to the team effort by achieving related results as required

REQUIRED PROFILE

Hold a DES or equivalent
3 to 5 years of experience
Bilingualism (English-French)
Knowledge of the MS Office suite
Knowledge of Donor Perfect software a great asset
